Dialpad + athenaOne

The athenaOne integration connects Dialpad with athenaOne so users can view matched patient records, search for records, and open charts from the Dialpad app. It also supports call logging, patient demographic data, patient chart deep-linking, and record matching workflows directly from the athenaOne sidebar.

Who can use this

Dialpad + athenaOne is available for users on Dialpad Support with Pro and Enterprise licenses.

Let’s dive into the details.

Setup requirements

Before you set up the athenaOne integration, make sure you have:

  • Access to the athenaOne integration in Dialpad

  • An active athenaOne account

  • Your athenahealth connection details

  • Your athenahealth login credentials

  • Access to your authenticator app for two-factor authentication

  • Your tenant ID and department ID, or practice ID

Set up the athenaOne integration

An admin must create and configure the athenaOne connection before users can sign in from the Dialpad app.

Create a connection

To create a connection in Dialpad to the athenaOne integration, go to your Dialpad Admin Settings.

  1. Go to Office Settings > Integrations

  2. Open the athenahealth integration

  3. Select Options > Manage Settings

  4. On the configuration page, select Customize for Office

  5. Confirm the enablement fields are filled in

  6. Confirm the Tenant ID and Department ID fields are filled in

  7. (Optional) Turn call logging on or off based on your office’s setup

  8. Scroll to Connections and select New Connection

    Form to create a connection with fields for client ID, secret, and practice ID.

  9. Enter the information for the integration, including:

    • Name

    • Client ID

    • Client Secret

    • Environment

    • Practice ID

  10. Select Create Connection

After the connection is created, a confirmation message is displayed.

Note

This setup only needs to be completed once per connection.

Select the primary connection

  1. In the Connections section, find the connection you created

  2. Select the radio button to make it the primary connection

  3. In the Enablement section, enter the Department ID

  4. Select Save Changes

Sign in to athenaOne from Dialpad

Once the admin setup is complete, users can connect their athenahealth session from the Dialpad app.

To connect your athenahealth session with Dialpad, open the Dialpad app

  1. Go to the area where your contacts appear

  2. In the athenaOne sidebar, select Connect

    AthenaOne integration allows syncing customers and orders directly from Dialpad.

  3. On the athenahealth sign-in page, enter your username and password

  4. Complete two-factor authentication with your authenticator app

  5. Enter your time-based one-time password, then select Verify

  6. Wait for the authentication window to close and return you to Dialpad

When sign-in is complete, the athenaOne sidebar becomes active in Dialpad.

Note

Depending on your office settings, users may need to authenticate once or once per login session.

If authentication takes longer than about a minute, close the window and try again. If multiple attempts fail, contact your Dialpad support team or internal admin.

View matched records in the athenaOne sidebar

If Dialpad finds an existing match in athenaOne for the record you’re viewing, the sidebar syncs automatically.

A matched record can display:

  • Name

  • Phone number

  • Date of birth and age

  • Address

Patient information including name, phone, date of birth, and address details displayed.

To open the full record in athenaOne:

  1. In the athenaOne sidebar, select View Chart

  2. If prompted, sign in with your athenahealth credentials

  3. Complete two-factor authentication if required

  4. Wait for athenaOne to load the chart

If you already have an active athenaOne session, the chart may open right away.

Note

athenaOne sessions can time out. If your session has expired, sign in again before the chart opens.

Disconnect or rematch a record

Users can disconnect an existing match and search for a different record.

  1. In the athenaOne sidebar, find the matched record

  2. Select the ellipsis next to the athenaOne options

  3. Choose the option to disconnect or rematch the record

When you rematch a record, Dialpad automatically removes the current match and starts a new search.

If no other record matches the phone number, you can start a manual search.

Search for a record manually

If Dialpad can’t find the correct record automatically, you can search for it manually.

  1. In the athenaOne sidebar, select Manual Search

  2. Enter the patient’s full name

  3. (Optional) Add any of these additional search fields:

    • Date of birth

    • Email

    • Home phone

    • Mobile phone

    • Last four digits of the SSN

    • Patient ID

  4. Start the search

  5. Select the correct result from the list of matches

Note

Full name is required for manual search. All other fields are optional.

If the name matches but another field does not, athenaOne may still return possible name matches for review.

Match inbound callers automatically

When an inbound call arrives, the athenaOne sidebar can search for a matching patient record based on the caller’s phone number.

  1. Answer the inbound call in Dialpad

  2. Wait while the athenaOne sidebar searches for a matching record

  3. Review the matched record details in the sidebar

  4. Select View Chart to open the patient record in athenaOne

If your athenaOne session is still active, the chart may open without another sign-in.

Review call logging

If call logging is enabled by your admin, athenaOne can log recent call activity.

  1. Open the matched patient record in athenaOne

  2. Go to Clinicals > Chart

  3. Navigate to the search area for phone-based encounters

  4. Wait for the latest call to appear in the left sidebar

  5. Select the most recent encounter to review the details

The call log can include:

  • Call ID

  • Call direction

  • From number

  • To number

  • Call date and time

  • Call duration

  • Call summary link

Note

The call ID from Dialpad is the same call ID that will appear in the patient’s chart inside athenaOne

Frequently asked questions

Do users need to sign in to athenaOne inside Dialpad?

Yes. Users need to authenticate their athenahealth session from the athenaOne sidebar before they can use sidebar features in Dialpad.

Does the integration always automatically match records?

No. If Dialpad can’t automatically find a record match, users can run a manual search.

What fields can users search with?

Users can search by full name, plus optional fields such as date of birth, email, phone numbers, the last 4 digits of the SSN, and patient ID.

Does athenaOne require two-factor authentication?

Yes. The product training deck shows two-factor authentication during sign-in and again when opening charts if the athenaOne session has expired or needs to be re-established.

Can users disconnect and rematch records?

Yes. Users can disconnect an existing match and start a new search from the athenaOne sidebar.

Will I be charged for API costs?

Yes. Companies are charged as per the organization’s agreement with athenaHealth. Dialpad does not charge for API usage.
